Terms and Conditions of Hall Hire
KCB premises are available for hire from 5.30pm to 10pm week days and from 10am to 10pm at the weekends.
KCB premises are not available to any user or group that directly or in-directly contravenes KCB’s Equal Opportunities Policy (attached).
All the groups using KCB premises should provide an outline of their aims and objectives or a copy of their constitution before a booking is agreed.
There must be a named person responsible for the conduct of the function, together with a full address and day-time contact telephone number. Post Box numbers are not acceptable.
The user undertakes that the premises shall not be used for any meeting, exhibition or performance of an objectionable character and agrees that the Management Committee or its representatives have the right to ask the hirer to stop any function that they consider objectionable.
All hire charges must be paid at least one week in advance. Reservations for those groups who do not do this will not be honoured.
Setting-up time and clearing-up time must be included in the booking time. All groups must leave promptly and quietly at the end of their booking.
PREMISES MUST BE LEFT CLEAN AND TIDY AT THE END OF THE BOOKING. TABLES AND CHAIRS LEFT AS THEY WERE FOUND. IF ADDITIONAL CLEANING IS REQUIRED OR THE FURNITURE HAS NOT BEEN REPLACED THIS WILL BE CHARGED TO THE USER. ALL RUBBISH MUST BE CLEANED/SWEPT UP AND LEFT IN BLACK BIN BAGS
No chairs or KCB equipment are allowed to be taken out of the centre without permission.
Live or amplified music, or the selling of alcohol of any description is not permissible at any of the centres.
It is illegal to smoke in any part of the building and smoking should not be permitted on the footway outside the building.
All bookings must be terminated at 10:00pm at the latest. This shall include all clearing-up time.
The kitchen must not be used without permission. If the kitchen is used it must be left clean. Any items that are used must be washed, dried and put away. Failure to do this will result in additional charges or loss of deposit.
The user is responsible for the conduct of people leaving the centres. This should be in a quiet manner.
Sub-letting is not permitted.
The name of the group booking the hall must be clearly displayed on all publicity.
Any damage to the Centre should be reported to the caretaker or receptionist. The user is responsible for all damage while the Centres are on hire and any cost of repairs will be charged to the hirer.
KCB is not responsible for any article left on the premises by the user.
The user is responsible for ensuring that the Centres are made secure when leaving the premises, shutting and locking all doors, turning off lights and turning on the alarm system, if applicable.
For health and safety reasons, the maximum number of people permitted in any of the centres is 80. It is the user’s responsibility for strictly enforcing this number.
For Affiliated Groups and hire of the King’s Cross Neighbourhood Centre
Keys for the centres must be collected from the Marchmont Community Centre the day of your booking by no later than 4:00pm Monday to Thursday, and for weekend bookings no later than 1:00pm on Friday. Failure to collect the keys will result in the hirer being charged in full for the letting. Keys should be returned to the Marchmont Community Centre at the end of your booking – by the next day at the very latest.
Failure to return or loss of the keys will result in a £50.00 charge.
For Non-Affiliated Groups and hire of the Marchmont Community Centre
The premises will be opened for the hirer by the Caretaker or other KCB representative and shall be open to a representative of KCB to enter at any time. The Caretaker will return 15 minutes prior to the end of the booking period to check and lock up.
Whilst every effort will be made to avoid disruption, KCBNA, staff and Management Committee members reserve the right of access to the centres at all times.
Anything displayed on the walls must be applied with Blu Tac only and removed at the end of your booking.
For children’s parties – the vast majority of those present must be children and they must terminate no later than 9pm, including clearing-up time.
All cancellations must be made at least two weeks in advance.
Bookings cancelled without seven days notice will be charged the full rate.
Under certain circumstances KCBNA may cancel bookings if new information is available which was not available at the time the booking was made.
Bookings are made individually and, whilst advance bookings can be agreed, no group should regard a regular time of the month as a permanent arrangement.
Any Breach of the above conditions may result in the immediate cancellation of all future bookings.
All the above conditions will be taken into account when considering the return of the refundable security deposit. Failure to comply with any of the above conditions may result in the complete or partial loss of the refundable deposit.
All deposit cheques will be cashed.
